Getting Started: Your First 30 Minutes with Valethon

What You'll Accomplish
By the end of this guide, you'll have:
- Created your first customer company
- Set up an admin user account
- Configured email-to-ticket integration
- Submitted and resolved your first test ticket
Step 1: Log In and Explore the Dashboard (5 minutes)
After signing up, you'll receive an email with your login credentials. Navigate to your Valethon instance URL and sign in.
The main navigation includes:

| Tickets | View, create, and manage support tickets |
| Customers | Manage customer companies and contacts |
| Assets | Track hardware, software, and network equipment |
| Reports | Activity logs, time tracking, and analytics |
| Settings | System configuration and customization |
Take a moment to click through each section. Notice the search bar at the top—this searches across tickets, companies, assets, and knowledge base articles.
Step 2: Create Your First Customer Company (5 minutes)
- Click Customers in the main menu
- Click Add Company
- Fill in the company details:
- Company Name: Your first customer's name
- Address: Physical address
- Primary Contact: Main point of contact
- Phone/Email: Contact information
- Under Modules, enable the features this customer needs:
- Assets (hardware/software tracking)
- Contracts (service agreements)
- Networks (IP and VLAN management)
Pro Tip: You can upload the customer's logo under the Branding tab. This logo appears in the helpdesk portal and on reports.
Step 3: Add a Site Location (3 minutes)
Most customers have at least one physical location. Let's add it:
- From the company view, click Sites in the sidebar
- Click Add Site
- Enter the location details:
- Site Name: "Main Office" or specific location
- Address: Physical address
- Infrastructure: Check boxes for servers, DNS, DHCP if applicable
Sites are important for asset organization—every asset can be assigned to a specific site.
Step 4: Create an Admin User (5 minutes)
Add a technician who can work tickets:
- Go to Settings → Admin Users
- Click Add User
- Fill in user details:
- Email: Required for login (display name login is disabled for security)
- First/Last Name: User's name
- Admin Level:
- Level 1-3: Basic technician
- Level 4-6: Senior technician
- Level 7-9: Administrator
- Set a temporary password
- Under Company Access, select which companies this user can view
- Click Save
The user will receive an email to set their password.
Step 5: Configure Email-to-Ticket (7 minutes)
Enable automatic ticket creation from incoming emails:
- Go to Settings → Email Configuration
- Click Configure Inbound Email
- Choose your email provider:
For Gmail (OAuth2):
- Click Connect Gmail
- Sign in with your support mailbox
- Grant permissions for Valethon to read emails
For Microsoft 365 (OAuth2):
- Click Connect Microsoft 365
- Sign in with your support mailbox
- Grant permissions for Microsoft Graph access
For Other Providers (IMAP):
- Enter IMAP server details
- Use an app password (not your regular password)
- Set the Default Company for emails from unknown senders
- Click Test Connection to verify
- Click Save
How it works: Every 5 minutes, Valethon checks the mailbox. New emails become tickets. Replies to existing tickets are added as notes.
Step 6: Submit Your First Ticket (3 minutes)
Let's test the system with a ticket:
Method 1: Via Email
- Send an email to your configured support address
- Subject: "Test Ticket - Please Ignore"
- Wait 5 minutes for the import cycle
Method 2: Via Admin Interface
- Click Tickets → New Ticket
- Select the customer company
- Enter a subject and description
- Set priority and job type
- Click Save
Step 7: Work and Close the Ticket (2 minutes)
- Open your test ticket
- Click Add Note to document work performed
- Change status to In Progress
- Add another note: "Issue resolved - test complete"
- Change status to Closed
The ticket is now in your history with a complete audit trail.
